Pella Windows seeks a facilities manager to maintain and oversee headquarters, warehouse and 5 showrooms. Depending on caliber, they might also oversee and manage our fleet, but definitely looking for more of a doer (hands on) than just a manager/overseer.
Position Description
Facilities Management:
Point of Contact: Serve as the primary point of contact with the various landlords for issues related to operations, common area charges, service levels, after-hours operation, landscaping, maintenance, HVAC, etc.. Requires in-depth understanding of each location’s lease details. Contract Management: Negotiate and oversee key facilities contracts (Housekeeping, HVAC, dumpsters, water, pest control, etc.).
Regulatory: Schedule and/or coordinate mandatory inspections (elevator, pressure vessel, fire alarms, solar panels, and sprinklers). Maintain tracking spreadsheet to show due dates and performed dates.
Vendors: Maintain a list of qualified vendors for all trades
Key Management: Maintain the facilities key boxes and supporting office map and key list.
Cleaning: Manage office housekeepers plus perform daily, weekly and monthly cleaning to ensure a safe, secure, professional and clean work environment
Maintenance: Complete routine maintenance and upkeep tasks to ensure that the facilities and grounds are safe, secure, and also in peak operating condition. These include but are not limited to:
· Tracking monthly dumpster expenses, number of pulls, and average weights to ensure that the number of dumpsters on-site and frequency of dumpster pulls match the business requirements. Work with the vendor to adjust as necessary.
· Cleaning roof drains on the low roof to prevent standing water and leaks (quarterly).
· Patching and smoothing holes in warehouse floors and doors (as needed).
· Changing fluorescent tubes and ballasts (as needed).
· Repairing and maintaining door closers, locks, and access control at HQ and showroom locations (as needed).
· Responding to employee requests for service and maintenance (as needed).
· Moving and reconfiguring furniture, cubicles and fixtures (as needed).
· Fixing routine plumbing, electrical and mechanical issues (as needed).
· Assessing facilities issues and determining whether they can be repaired in-house or require a third-party vendor (e.g., electric, plumbing, compressor, generator, roll-up doors, etc.).
· Scheduling compressor maintenance (semi-annual oil changes, air filter, etc.) and backup generator maintenance.
